HIRE INFORMATION

House Keeping

Woodcote Village Hall is an unmanned facility which, like the majority of Village Halls, relies upon hirers to clear up after themselves, stack away the furniture and turn off the lights.  It is also the hirers responsibility to ensure their guests/participants have left the building safely and that the building is secure upon leaving. All hirers are required to take their rubbish away with them for disposal. Please do not leave bags of rubbish on the village green, outside of the village hall, or by the bins in the car park. Hirers who fail to remove their rubbish will be invoiced for commercial waster removal.

Access to the Village Hall

The hall is fitted with a keyless lock which is operated via a 4 digit PIN code. Once your booking is paid and confirmed, you will receive your unique PIN code 3 days and again 1 day before your period of hire. This will go to the email account which you used when you made your booking. This is an automated service so please ensure you you check your spam/junk folders if you are unable to find it. Your PIN code will release the lock during your period of hire only. Please therefore ensure you include all of the required set-up and clear up time you need for your activity. You will find emergency contact numbers on the main hall door should you encounter a problem.

Parking and Accessibilty

The Village Hall has a large, free car park. There are Blue Badge parking spaces to the front of the building and a number of ramps to enable wheelchair users to access the building. There are 3 disabled toilet cubicles in the building. Please use the Hall Floor Plan to view the locations of ramps and accessible facilities.

Outside Space

Woodcote Village Hall sits on the edge of the village green. The Pavilion and Function Room both offer direct access to the green. The village green is a public space and as such, is not suitable for setting up private marquee’s/gazebo’s/dining areas or play equipment as an extension of your hall booking. If you would like to discuss an activity on the village green, please contact Woodcote Parish Council.

Insurance

The village hall insurance covers PRIVATE hire so, if you are having a private party or gathering then you don’t need to worry about insurance. However, the village hall insurance does not cover hirers who then rent space in the Hall to a second party, i.e hirers who sub-let space, or an organised group who are collecting subscriptions. If you want to hire the Hall for a class, event or activity, for example where you are selling space to others e.g participants, members, traders or exhibitors, you must provide proof of your own/organisation insurance to comply with our Standard Conditions of Hire.

The Sale and Supply of Alcohol

As a Hirer of the Woodcote Village Hall, you are able to serve alcohol and operate a bar under the licence held by Woodcote Village Hall Charity. Hirers however are required to complete and sign the Hall Hirer’s Agreement for the Sale and Supply of Alcohol to obtain agreement from the Charity before serving or selling alcohol on the premises. The charge for this service is £10/booking.
